Applicability
Mobile workers (including Sales or Project staff who visit customer sites as a standard part of their role, or other staff engaged in a temporary assignment outside the offices) are held to some of the same standards as Home Workers, but not all. Should a Mobile Worker wish to regularly work from home, they will need to apply for a formalised agreement and abide by the Home Working policy in addition to the Mobile Working policy.
Whilst it is still expected that a Mobile Worker ensure all places of work are suitable (e.g. appropriate lighting, posture, facilities, fire escape route), they are not expected to conduct a formal Health and Safety assessment as per the checklist. However, if they expect to work frequently at a site (a customer’s offices, a particular hotel), they should notify their line manager and go through said assessment. If this location is their home, they should check with their line manager if a formal Home Working agreement may be required and abide by the Home Working policy regardless.
Equipment, costs and expenses
PCI Pal will clarify what they will provide before Mobile Working can take place (for example, laptop, mobile phones etc), and will clarify what the employee should provide (e.g. travel containers, charger cables etc).
PCI Pal will cover all reasonable costs for the delivery, maintenance or replacement of equipment. This equipment will be PCI Pal equipment, however, and the employee is responsible for ensuring its maintenance and appropriate use.
Mobile Workers may reclaim all travel expenses to and from PCI Pal offices in the UK that occur on days that they would normally work from home but have been required to attend the office for work, meetings or events. An exception to this is where a Mobile Worker still works the designated number of days from home, and simply works them on different days of the week to their normal pattern – and hence is not incurring any additional travel expenses.
Mobile Workers who were hired whilst living in the UK but who move outside of the UK will normally have their travel expenses paid from their point of entry to the UK, to the work destination, and then back to the point of exit, on any day that they are required to work in the UK but on days they would normally work outside the UK.
Mobile Workers who were hired whilst living outside the UK will have reasonable travel expenses paid to and from PCI Pal offices in the UK on days that they would normally work externally. These expenses must be approved in advance by the Finance Director.
Except where specified above, Mobile Workers may submit reasonable expenses for any travel and living costs incurred from working at remote locations at PCI Pal’s behest and should complete an expenses form where appropriate to recoup travel, postal and other relevant expenditures.
